Vanguard Resource Group ("Vanguard", "we") is a staffing company that places workers with construction companies. This policy explains what information our website, vanguardresource.com, collects and what we do with it.
What we collect
- Client requests: the name, company, email, phone, project details and anything else you type into our contact form.
- Job applications: the details you give on our application form, and your resume if you attach one.
- Timesheets: for workers we place, the days and times worked, the job site, and any notes, entered through the personal timesheet link we send you. We also record when a timesheet was submitted and the internet address it came from.
- Our QuickBooks connection: our timesheet tool connects to Vanguard's own QuickBooks Online company to create invoices for our clients. Through it we read our own customer and product lists and create invoices. We do not connect to anyone else's QuickBooks.
How we use it
- To answer client requests, consider applicants, and place workers.
- To pay workers and bill clients for the hours worked.
- To keep records our business and the law require.
We don't sell your information or use it for advertising.
Who we share it with
Only the services we use to run our business, and only for that purpose: our website host (Netlify), our work-tracking software (monday.com), our email service (Resend), Google Workspace, and Intuit QuickBooks. A client company sees the hours its placed workers submitted, on its invoice. We may also share information when the law requires it.
How long we keep it
We keep timesheet and invoice records as long as we need them for payroll, billing, taxes and legal requirements. We keep other records while they're useful to our business, then delete them.
Your choices
You can ask us what information we have about you, or ask us to correct or delete it, by emailing admin@vanguardresource.com or calling 678-628-8848. We may need to keep some records, such as hours worked, where the law requires it.
Security
Information is sent to us over encrypted connections. Access to our records is limited to Vanguard's partners and staff who need it. Our QuickBooks connection key is stored privately by our website host and is never shown on any page.
